ESTHER is an interfaith social-justice organization. We are grassroots and non-profit, focusing our work in the Fox Valley region of Wisconsin.

ESTHER aims to bring together people of faith and communities of faith to build community and to identify and act on issues of injustice. Faith communities covenanting with ESTHER join together based on shared values such as equality and human dignity. We work with congregations and individuals in collaboration with community partners and public officials so that everyone can have a voice and role in bringing about strong and just communities. ESTHER sometimes seeks to mobilize support for or opposition to particular legislation or rule-making; we do not, however, advocate for candidates or parties.

This is a part-time position (approximately 12 hours per week). The starting salary for this position is $10,000.00 to $12,000.00 per year, depending on prior experience.

The purpose of this role is to assist the Lead Organizer and Governing Board with management of general business operations. The tasks of the office administrator will include bookkeeping, office management, and communications coordination. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. English fluency is required. Fluency in a second language is not required, but is a plus.

The expected duties of this role include, but are not limited to the following:

  • Communications:

    • writing or assisting with emails, e-newsletters, mailings to members, blog posts, social media posting and comment mediation, press releases

    • maintaining contact information in database; maintaining lists of contacts (religious leaders, task forces, legislators, media outlets, etc)

    • creating and printing event flyers

    • gathering event fees and updating database concerning registration

    • checking email and phone messages, answering or relaying information to appropriate person(s)

    • checking the mailbox, dealing with mail appropriately

    • maintaining the website

    • managing volunteers who send thank you cards to contributors and register in EveryAction

    • preparing bulk mailing; printing of labels, letters, picking up mailing trays from post office, purchasing postage and distribution

    • handling all merchandise (creating, ordering, and managing)

    • assisting with graphic design for print and online communications, coordinating with printers, event planning, handling photography and videography for ESTHER events

    • assisting in production and promotion of “ESTHER Talks” podcast

    • acting as bilingual liaison between the ESTHER and communities that do not speak English: translating documents, interpreting, and connecting to appropriate services (languages like Spanish, Hmong, and Swahili are preferred)

  • Office Maintenance:

    • keeping the office stocked appropriately with paper, staples, folders, labels, envelopes, toner, etc

    • keeping the office organized, help reorganize materials after events

  • Recordkeeping:

    • developing an organizational plan to archive necessary documents

    • pulling and archiving news articles about ESTHER and keeping electronic copies

    • helping with ESTHER task forces and WISDOM programs in preparing contracts, collecting receipts or invoices and obtaining signatures for services purchased or provided

    • depositing all funds received by ESTHER into ESTHER's credit union account

    • recording all deposits in EveryAction

    • saving copies of deposits in Dropbox and keeping Treasurer updated

    • communicating all supporting documentation needed for the treasurer concerning all accounts receivable and accounts payable (such as invoices, receipts, checks, paying bills, sending contracts, deposit slips, etc)

    • assisting in resolving discrepancies the treasurer may have; in order to ensure that EveryAction and Quickbooks are in sync, as needed

    • checking invoices and forwarding on to treasurer

    • tracking and reporting on specific grants as needed

    • recording/reviewing all deposits, traditional (paper checks) and electronic (PayPal, Paragon, Electronic Funds Transfers), for accuracy and assigning to the proper general ledger accounts

    • completing all entries in the accounting system (QuickBooks) and maintaining the Chart of Accounts.

    • scanning and uploading documentation for all receipts and disbursements to the accounting system (QuickBooks)
